Administrative Assistant (all genders)
TASKS
The Administrative Assistant is responsible for providing operational and administrative support to the company’s daily activities, ensuring organization, accuracy of information, and efficiency in internal processes for the MTU Maintenance do Brasil Ltda. This role works collaboratively with multiple departments and assists with document management, customer support, and general administrative routines.
- Perform general administrative tasks, including preparing documents, spreadsheets, reports, and presentations.
- Organize and maintain physical and digital files, ensuring quick and easy access to information.
- Support purchasing processes, material requests, and supplier follow-ups.
- Handle phone, in-person, and email communications, forwarding inquiries to the appropriate personnel.
- Assist with HR routines such as timekeeping, vacation control, and employee documentation (when applicable).
- Support basic financial activities such as invoice issuance, document verification, and payment tracking.
- Organize calendars, meetings, business trips, and internal events.
- Monitor deadlines, tasks, and follow up on pending activities.
- Maintain updated records of clients, suppliers, and corporate documents.
- Collaborate on administrative process improvements
YOUR PROFILE
- High school diploma (required).
- Technical or university degree in Business Administration, Office Management, Accounting, Management Processes, or related fields (preferred).
- Previous experience in administrative routines (1–2 years preferred).
- Experience with document workflow, customer support, and operational assistance.
- Microsoft Office proficiency (intermediate Excel is a strong advantage).
- File and document organization skills.
- Basic knowledge of ERP systems (preferred).
- Portuguese/ English (Advanced / Fluent)/ German (Basic / Intermediate / Spanish (Basic / Intermediate).
- Strong organizational skills and attention to detail.
- Clear and professional communication.
- Ability to handle multiple tasks simultaneously.
- Proactive and agile problem-solving.
- Teamwork and collaborative attitude.
